Your stock numbers do not match between systems
Shopify says an item is available. The warehouse says it is gone. Xero or QuickBooks shows another figure, and a manual correction only holds until the next order, return, receipt or app update.
When several systems can change stock, increasing sync frequency alone rarely fixes the cause. APIwise maps the inventory flow and scopes the simplest reliable route through the systems you already use.

Start with one real example.
Preserve the current data before bulk replay, overwrite or clean-up. One traceable example is more useful than a broad description.
- Choose one wrong SKU and record the physical count and every system's count at the same time.
- Identify which system owns on-hand, available and committed stock.
- Check SKU and variant identifiers in every system.
- Trace the last order, return, receipt, adjustment and fulfilment update.
- List every app or person allowed to write a quantity.
- Separate a quantity mismatch from valuation or cost-of-goods differences.

The answer may be connector configuration, a dedicated inventory platform, middleware or custom logic. The diagnosis comes first, and any build is tested against real events and failure cases.

A fit when
Retailers and operators whose stock crosses several live systems and repeatedly drifts after ordinary orders, returns or corrections.
Try the smaller route first when
A platform setting, vendor support ticket, accountant or warehouse process specialist may be the right first route when the fault sits in one tool or in unrecorded physical movements.
Why does Shopify stock keep going out of sync?
Common causes are competing writers, mismatched SKUs, late events, manual edits and unclear ownership. Trace one SKU across every writer and timestamp first.
Should Xero be the source of truth for stock?
Not by default. A dedicated inventory or fulfilment platform may be a better operational owner when there are several channels, locations or bundles.
Will a faster sync fix inventory discrepancies?
It may reduce delay, but it will not fix bad mapping, missing events or competing writers. Faster wrong updates remain wrong.
